1. Who We Are

Jolly Couriers is a trading style of Jolly Vehicle Operations Ltd, a same-day courier service operating across the UK. We are committed to protecting your personal data and handling it responsibly in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What Data We Collect

When you make a booking, we collect:

  • Your name, email address, and phone number
  • Collection and delivery addresses
  • The name and contact details of the recipient
  • A description of the item being delivered
  • Your vehicle size preference and delivery timing requirements

When you create a business account, we additionally collect:

  • Your company name and billing address
  • The names, email addresses, and phone numbers of individuals authorised to make bookings on behalf of your organisation

When you visit our website, we automatically collect:

  • Browser type, device type, and IP address
  • Pages visited, time spent, and interactions with our site
  • How you arrived at our site (e.g. search engine, advertisement, referral)
  • Cookie identifiers as described in Section 6

When you use our live chat, we collect:

  • The content of your conversation with us
  • Your name and email address if you provide them during the chat

3. How We Use Your Data

We use your personal data for the following purposes:

To fulfil your delivery — we use your booking details, collection and delivery addresses, and contact information to arrange, dispatch, and complete your courier job. This is necessary for the performance of a contract with you.

To process payment — your booking total is passed to Stripe, our payment processor, to authorise and capture payment. We do not store your card details. Please refer to Stripe's privacy policy for details of how they handle payment data.

To communicate with you about your booking — we may contact you by email or SMS to confirm your booking, provide tracking updates, or discuss any issues with your delivery.

To manage your account — if you hold a business account with us, we use your data to manage your account, generate invoices, and administer your credit facility where applicable.

For marketing communications — with your consent, we may contact you by email with information about our services, promotions, and updates. You can withdraw this consent at any time by clicking the unsubscribe link in any marketing email or by contacting us at gdpr@jollycouriers.co.uk. We will never use SMS for unsolicited marketing.

To improve our services — we use anonymised and aggregated data to understand how our service is used and to improve the booking experience.

To comply with legal obligations — we retain certain records as required by law, including financial records.


4. Who We Share Your Data With

We share personal data only where necessary to provide our services or comply with legal obligations. We never sell your data.

Self-employed courier drivers — when a job is assigned, the driver receives your collection address, delivery address, and the contact details of the sender and recipient. This is necessary to complete the delivery. All drivers engaged by Jolly Couriers are required to sign a data processing agreement and are prohibited from using your data for their own purposes.

Shipday — we use Shipday as our driver dispatch and tracking platform. Booking and contact details are shared with Shipday to facilitate driver assignment and real-time tracking. Shipday is bound by its own data processing terms.

Stripe — your payment is processed securely by Stripe. We pass them the amount due and a booking reference. We do not share your card details with anyone, including Stripe — these are entered directly into Stripe's secure payment interface.

HubSpot — we use HubSpot for our website, live chat, and customer relationship management. HubSpot may store your name, email address, and chat conversation history. HubSpot tracks visitor behaviour across sessions using cookies. Please refer to HubSpot's privacy policy for full details.

Microsoft Clarity — we use Microsoft Clarity to record anonymised session replays of website visits. This helps us understand how visitors interact with our site. Clarity is configured to mask all text input fields — keystrokes are never visible to us. IP addresses are anonymised.

Google — we use Google Analytics 4 to understand website traffic and user behaviour, and Google Ads for advertising. Google may use this data to show you relevant advertisements across the Google network. You can opt out of Google's use of your data for advertising at google.com/settings/ads.

Microsoft Advertising (Bing Ads) — we use Microsoft Advertising to measure the effectiveness of our advertising campaigns and to show relevant advertisements across the Microsoft network.

Meta (Facebook and Instagram) — we use the Meta Pixel to measure conversions from our advertising, build audiences of people who have visited our site, and show relevant advertisements on Facebook and Instagram. You can manage your ad preferences at facebook.com/ads/preferences.

LinkedIn — we use the LinkedIn Insight Tag to measure conversions from our LinkedIn advertising campaigns, to build retargeting audiences, and to show relevant advertisements on LinkedIn.

All third-party partners listed above are prohibited from using your personal data for their own marketing purposes beyond what is described in their respective privacy policies.


5. Cookies

We use cookies and similar tracking technologies on our website. Cookiebot manages your cookie consent — you can set your preferences at any time by clicking the cookie icon at the bottom of our website.

We use the following categories of cookies:

Strictly necessary — essential for the website and booking tool to function. These cannot be disabled.

Analytics — help us understand how visitors use our site (Google Analytics, Microsoft Clarity).

Marketing — used to deliver relevant advertisements and measure their effectiveness (Google Ads, Microsoft Advertising, Meta Pixel, LinkedIn Insight Tag, HubSpot).

Functional — remember your preferences and personalise your experience (HubSpot live chat).

6. Data Retention

We retain your personal data for the following periods:

  • Booking records — 7 years from the date of the booking, in accordance with our legal and financial record-keeping obligations
  • Business account data — for the duration of your account relationship with us, plus 7 years
  • Marketing consent records — until you withdraw consent, plus 3 years
  • Live chat transcripts — 2 years
  • Website analytics data — as determined by the respective platform's data retention settings (typically 14 months for GA4)

7. Your Rights

Under UK GDPR you have the following rights regarding your personal data:

  • Right of access — request a copy of the data we hold about you
  • Right to rectification — ask us to correct inaccurate data
  • Right to erasure — ask us to delete your data, subject to our legal retention obligations
  • Right to restrict processing — ask us to limit how we use your data
  • Right to data portability — request your data in a machine-readable format
  • Right to object — object to us processing your data for marketing purposes
  • Right to withdraw consent — where processing is based on consent, you may withdraw it at any time

If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.


8. Data Security

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. Our booking platform uses encrypted connections (HTTPS), access controls, and secure payment processing via Stripe. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

We may update this policy from time to time. The date at the top of this page reflects when it was last revised. We encourage you to review it periodically.
